Configure service report objects
Overview
After the service report function is enabled, the system will automatically default the Service Report object and the Service Report Status field on the work order. Administrators do not need to manually create new objects. The focus is to confirm that object relationships, attachment storage locations, and status fields can meet subsequent generation rules and query requirements.
Before you begin
- Use an administrator account with service reporting enabled.
- Confirm the account to view work order objects and service report related fields.
- Prepare a test work order that generates a service report to validate object records, PDF attachments, and status fields.
Service report object relationship
After the service report function is enabled, the system automatically defaults the Service Report object. This object is associated with Work Order:
- One work order can generate multiple service reports;
- Each service report generated is recorded in the service report object;
- The generated PDF file is stored in the attachment field of the service report object.
Service report status field
After the service report function is enabled, the system will preset the Service Report Status field in the Work Order object. After the engineer generates the service report through the shortcut button or process button, the system will automatically update this field.
The system's default status includes:
| Status | System Defaults |
|---|---|
| Draft | Service report status value. |
| Incomplete | Service report status value. |
| Pending customer signature | Service report status value. |
| Customer Rejection | Service report status value. |
| Completed | Service report status value. |
The source material defines the status names and the automatic update after report generation. It does not define every transition condition. Verify the behavior in your organization and do not infer rules from status names.
Expected results and verification
- Confirm that the service reporting function is turned on in the system settings.
- Use the test work order to generate service reports through shortcut buttons or process buttons.
- Confirm that the Service Report associated record appears in the work order details.
- Open the service report record and confirm that the PDF is in the Attachment field.
- Check that the Service Report Status on the work order has been updated according to the actual processing results.
Notes
- Service Report objects are preset by the system, do not repeatedly create custom objects with the same name.
- A work order can be associated with multiple service reports. Work order and service report records should be checked at the same time when querying and archiving.
- The PDF is stored in the attachment field of the service report object; just checking the ticket field without viewing the service report record may not confirm whether the file was generated.
- Status field visibility and editability depend on object permissions; do not manually modify status as a substitute for the actual report generation process.
- Equipment service reports are still saved using the service report object, and the specific report subject is determined by the template and generation rules.
