Select a spare parts management mode
Overview
Select a mode based on whether your organization maintains warehouse inventory, tracks engineers' on-hand parts, and uses request and shipping processes. The mode controls available menus, part sources, and inventory behavior.
Before you begin
- Confirm that the enterprise uses the professional version of Service Pass and has spare parts management and configuration permissions.
- If you choose advanced mode, first confirm that the inventory management module has enabled autonomous management mode or ERP docking mode.
- Confirm whether the company needs to track the number of engineers on hand, and whether it requires application, shipment, receipt and return between warehouses.
Select mode
| Business requirements | Should be selected |
|---|---|
| Only record what spare parts were used on the work order, and do not maintain the quantity | Simple mode |
| Only spare parts in the hands of engineers are managed, and warehouse inventory is maintained offline | Normal mode |
| Manage warehouse, personal library, application, shipping, receipt and return at the same time | Advanced mode |
Operation steps
- In Service Pass, go to System Settings > Business Plugins > Spare Parts Management.
- View the current spare part mode and enabled dependent modules.
- Select Simple Mode, Standard Mode, or Advanced Mode, and save the configuration.
- Use test products and test work orders to verify the mode: the simple mode should only be able to record consumption; the normal mode should be able to view the personal library; the advanced mode should also be able to view the warehouse inventory and application/shipping portal.
Mode restrictions
| Mode | Available Capabilities | Not Applicable Capabilities |
|---|---|---|
| Simple mode | Work order spare parts consumption | Personal inventory, issue, return, part request, shipping, return shipment, and warehouse inventory |
| Normal mode | Personal warehouse, picking, returning, work order consumption | System warehouse inventory, complete application/shipping/return link, batch/serial number |
| Advanced mode | Personal library, warehouse inventory, application, shipping, receipt, consumption, return, batch/serial number | Capabilities that require additional configuration are still restricted by modules, permissions and new version of spare parts consumption conditions |
Expected results and verification
- After you save the mode, Service Pass shows the corresponding feature entry points.
- In advanced mode, confirm that the warehouse administrator has business permissions for the spare parts warehouse, spare parts warehousing and spare parts outgoing.
- Use test records to verify the impact of inventory. Do not use consumption records in simple mode to determine whether warehouse inventory is deducted.
Notes
- Mode selection will change the visible objects and inventory caliber; the inventory personal library and warehouse data should be checked before switching.
- Spare parts request, shipment and return are only available in advanced mode and using the new version of spare parts consumption.
- Do not regard the personal warehouse quantity in normal mode as the total inventory of the enterprise warehouse.
