Configure object and role permissions

Control the objects, business types, layouts, data, and operations that service provider supervisors, service provider dispatchers, and service provider engineers can access in the portal.

Overview

The capabilities available on the provider portal are determined by multiple layers of settings:

Merely opening objects or only assigning operation permissions is not enough to form a complete entrance. Role permissions and layout need to be checked at the same time.

Before you begin

  • The service provider portal has been opened, and test accounts for service provider supervisors, service provider dispatchers and service provider engineers have been created.
  • The objects, business types, fields and data ranges that each role needs to view have been determined.
  • Test data that can be verified for each role has been prepared.
  • Use the service pass administrator or connected role administrator account.

Configuration steps

1. Configure the service provider portal business object

  1. Enter Service Pass > System Settings > Full Function Configuration > Service Provider Portal > Object Management.
  2. View the service provider business objects preset by the system. Preset objects are used for the basic capabilities of the portal and are not recommended to be deleted at will.
  3. To expose another object, select Add Object, and then select the object.
  4. Enter the object settings and assign available business types to different service provider roles.
  5. Assign web and mobile page layouts to each role.
  6. Set the data permissions of the object according to the service collaboration scope.

2. Configure service provider connected role permissions

  1. Enter the Internet role corresponding to the service provider portal, and open the service provider supervisor, service provider dispatcher and service provider engineer respectively.
  2. Turn on View List for the character who needs to display the object entrance.
  3. Enable View Details for the role that needs to open the record.
  4. Assign permissions to create, edit and other operation points according to responsibilities.
  5. Configure field permissions and set the field to editable, read-only, or invisible.
  6. Save the role permissions.

For example, service provider dispatchers need to view work orders and perform internal assignments; service provider engineers need to view work orders assigned to themselves and fill in on-site service information. Do not open the same scope of operations just because two types of roles use the same object.

3. Check layout and buttons

  1. Open the list page and detail page layout assigned to the service provider role.
  2. Confirm that the action buttons required by the role are visible in the layout.
  3. Remove or hide buttons that the character should not use.
  4. Log in to the portal using the accounts of the service provider supervisor, service provider dispatcher and service provider engineer respectively.
  5. Check whether the object entrance, list data, detail fields and operation buttons comply with role responsibilities.

Expected results and verification

  • When the character has View List, he can see the object entrance, and when he has View Details, he can open the record.
  • Business types and layouts take effect through role assignments.
  • Available actions and editable fields match the configuration.
  • Service provider dispatchers and service provider engineers can only see records and operations permitted by data permissions.

FAQ

There is no object entry in the portal

Check whether the object has been added to the service provider portal, whether the current role is assigned a business type and layout, and whether View List is turned on.

Can see the list but cannot open the details

Check whether View Details is enabled for the current role, and confirm that the details page layout has been assigned.

Operation permission assigned but no button

Continue to check the list page or details page layout. Permission to allow an operation does not mean that the layout will automatically display the corresponding button.

Role sees data it should not have access to

Check the object's data permissions and role scope. Don't restrict data access just by hiding menus or buttons.

Notes

  • This page only configures the service provider portal role and is not applicable to the end-user service portal.
  • Adjusting preset objects, business types or layouts may affect multiple service provider roles at the same time. Check the applicable scope before saving.
  • Configure service provider engineers according to the principle of least privilege, and do not open data and operations unrelated to on-site services.
