Manage offline work orders

Overview

Service engineers can download authorized work orders and on-site standard operation data before entering an area with limited connectivity. The app saves work locally and uploads it after reconnecting.

Before you begin

  • The administrator has enabled offline rules for the current account.
  • The current account is an eligible internal user with access to the target work order.
  • Use the service mobile terminal to operate.
  • Keep the network available before entering a no-network zone and allow time for data packets to download.
  • The default rule only downloads work orders in which the current logged-in person participates as a service engineer or collaborative engineer and the process status is in progress. When an enterprise adjusts its rules, the actual scope of the rules shall prevail.

Operation steps

1. Download offline data online

  1. While connected, open the Service Pass home page and select Offline Work Order.
  2. On the offline work order page, click Download offline data package.
  3. View the offline rules matched by the system for the current account. The system only displays the rule with the highest priority; if the priorities are the same, the rule with the latest creation time is displayed.
  4. Click Download. The system calculates the amount of data that needs to be downloaded in real time and displays the download progress.
  5. Wait for the download to complete before entering an area with no network or weak network.

NOTE

The actual download scope is the intersection of the offline rule scope and the current account data access permissions. If the current account does not have permission to access the work orders that exist in the rules, they will not be downloaded locally.

2. Process work orders offline

  1. While offline or on a weak connection, open the Service Pass home page and select Offline Work Order.
  2. Click Pending Work Orders to open the list of work orders that have been downloaded locally.
  3. Open the target work order to view details or update the basic information of the work order.
  4. If the work order card or details page displays Execute standard operations, click this button to enter on-site standard operations.
  5. Complete on-site actions such as sign-in, fault confirmation, inspection items, spare parts consumption, service items or products according to the process.
  6. Complete on-site standard work tasks.

IMPORTANT

  • The Execute Standard Operation button is only displayed for work orders that have been downloaded locally and have SOP instances.
  • Offline check-in and check-out only record the timestamp and latitude and longitude.
  • You cannot generate service reports, initiate service evaluations, or perform SOP repetitive actions while offline.
  • After modifying the work order data offline, the system will not re-match the SOP.

3. Upload local data online

  1. After completing the standard operations, restore the device network connection. The system will automatically upload local data to the server.
  2. On the Service Pass home page, select Offline Work Orders > Work Orders to Be Uploaded to check progress.
  3. If the work order card shows that the upload failed, check the failure log on the card.
  4. Open the work order details based on the failure information, modify the local record, and manually click Upload again.

The system will also automatically upload unsuccessful data on a regular basis. Do not consider local records synchronized to the server until the upload is complete.

Expected results and verification

  • After the data package download is completed, the target work order appears in Pending Work Orders.
  • When there is no network or weak network, you can view the downloaded work orders, update the work orders and perform on-site standard operations within the supported scope.
  • After the network is restored, local data begins to be uploaded; you can view the progress or failure log in Work Orders to be Uploaded.
  • After the upload is successful, the local operation is synchronized to the server.

FAQ

The target work order cannot be found after downloading

Check the following conditions in order:

  1. Whether the current account matches the offline rules enabled by the administrator.
  2. Whether the target work order meets the data range and number of interception conditions of the rule.
  3. Whether the current account has data access permissions for this work order.
  4. If preset rules are used, whether the target work order is participated by the current login person as a service engineer or collaborative engineer and is in progress.

There is no "Perform Standard Operation" button on the work order

This button is only displayed when the work order has been downloaded locally and there is an SOP instance for the work order. Please confirm in an internet-connected environment that the company has enabled on-site standard operations and that the work order has matched the SOP template.

Unable to generate service report or complete service review

These two operations do not support offline processing. After the network is restored, generate a service report or conduct a service evaluation.

Local data upload failed

Go to Offline Work Orders > Work Orders to be Uploaded to view the failure log, open the work order details, correct the local records, and upload again manually. The system will also automatically retry periodically.
